1. Introduction
Z2 Hockey LLC ("Z2 Hockey," "we," "us," or "our") is a Tennessee limited liability company that operates youth hockey development programs, including on-ice training, off-ice training, camps, and related services (collectively, the "Services"). This Privacy Policy explains how we collect, use, share, and protect personal information when you access our website at z2hockey.com, create an account, register a participant, or otherwise interact with the Services.
By using the Services, you confirm that you have read and understood this Privacy Policy. If you do not agree, please do not use the Services.
2. Who This Policy Applies To
- Adult users (age 18+) who create accounts, register themselves, or register a minor participant.
- Minor participants whose information is provided to us by their parent or legal guardian.
We do not knowingly collect personal information directly from children under 13 without verifiable parental consent, consistent with the Children's Online Privacy Protection Act ("COPPA"). All accounts must be created and managed by a parent or legal guardian on behalf of a minor participant.
3. Information We Collect
3.1 Information You Provide
- Account-holder information: name, email address, phone number, mailing address, and account password.
- Participant information: legal name, date of birth, age, gender, jersey size, school, grade, and USA Hockey registration number.
- Emergency and medical information: emergency contacts, primary care physician, health insurance carrier and policy details, allergies, current medications, and relevant medical history (collected through the Authorization for Medical Treatment).
- Payment information: processed by our payment processor, Stripe. We do not store full payment card numbers on our systems.
- Signed legal forms: Liability Waivers, Concussion Acknowledgements, Photo/Video & Media Releases, Code of Conduct Agreements, USA Hockey Registration confirmations, and similar documents. Each signature is recorded with a timestamp, IP address, and document version for audit purposes.
- Communications: the content of messages you send to us, including support inquiries and feedback.
- Photos and videos (only with a signed Photo, Video & Media Release): images and video captured during sessions or events.
3.2 Information Collected Automatically
- Device and usage data: IP address, browser type, device identifiers, pages visited, and timestamps.
- Cookies and similar technologies: we use essential cookies to operate the Services and may use analytics cookies to understand how the Services are used. You can manage cookies through your browser; disabling essential cookies may affect functionality.
3.3 Information From Third Parties
- USA Hockey registration confirmations and related insurance information.
- Coaches and staff may add session-related notes, attendance, and conduct records.
4. How We Use Personal Information
We use personal information to:
- Operate the Services, including scheduling, billing, and participant management.
- Process payments through Stripe and maintain records of transactions.
- Communicate with you about your account, registrations, schedule changes, safety alerts, and program updates.
- Respond to medical emergencies pursuant to your Authorization for Medical Treatment.
- Maintain audit records of signed legal documents.
- Comply with applicable law, USA Hockey requirements, and our internal policies.
- Detect, investigate, and prevent fraud, abuse, or violations of our terms.
- With your separate consent, promote the Services using photographs or video of participants.
5. Legal Bases for Processing
Where applicable, we rely on the following legal bases:
- Contract — to provide the Services you have requested.
- Consent — for photographic/video use, marketing communications, and other optional processing.
- Legitimate interests — to operate, secure, and improve the Services and to comply with USA Hockey requirements.
- Legal obligation — to comply with applicable law.
6. How We Share Personal Information
We share personal information only as follows:
- Service providers that process information on our behalf, including:
- Stripe (payment processing)
- Supabase (database and authentication infrastructure)
- Resend (transactional email)
- Twilio (transactional SMS)
- Vercel (application hosting)
- USA Hockey for registration verification and required insurance reporting.
- Coaches and authorized staff who need access to participant information to deliver the Services safely.
- Medical and emergency personnel in genuine emergencies, pursuant to your Authorization for Medical Treatment.
- Legal authorities when required by law, subpoena, or court order, or when necessary to protect the safety of any person.
- Successors in connection with a merger, acquisition, or sale of substantially all assets, subject to this Privacy Policy.
We do not sell personal information, and we do not share personal information with third parties for their own direct marketing.
7. Data Retention
We retain personal information for as long as your account is active and for a reasonable period afterward to:
- Comply with tax, accounting, and insurance recordkeeping obligations (typically seven (7) years for financial records).
- Maintain audit records of signed legal documents through the applicable statute of limitations.
- Resolve disputes and enforce our agreements.
After the applicable retention period, we delete or anonymize personal information.
8. Your Rights
Depending on where you live, you may have the following rights:
- Access — request a copy of the personal information we hold about you and any minor participant in your care.
- Correction — request that we correct inaccurate information.
- Deletion — request that we delete personal information, subject to legal retention obligations and legitimate-interest exceptions.
- Portability — request a copy of certain personal information in a structured, machine-readable format.
- Withdraw consent — for photographic/video use or marketing communications at any time.
- Object to processing for direct marketing.
To exercise these rights, submit a request through your account settings under Privacy or by emailing info@z2hockey.com. We may need to verify your identity before fulfilling a request.
Residents of Tennessee may have additional rights under the Tennessee Information Protection Act ("TIPA") effective July 1, 2025. Residents of other states with comprehensive privacy laws may have similar or additional rights under those laws.
9. Children's Privacy (COPPA)
The Services are intended to be used by adults (age 18+) on behalf of minor participants. We collect information about minor participants only from their parent or legal guardian. A parent or legal guardian may at any time:
- Review the personal information we hold about their minor participant;
- Request correction or deletion of that information;
- Refuse further collection or use of that information.

10. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit (TLS), encryption at rest where supported by our providers, role-based access controls, and audit logging. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
If we become aware of a security incident affecting your personal information, we will notify you as required by applicable law.
11. International Users
The Services are operated from the United States. By using the Services, you consent to the transfer and processing of your personal information in the United States. If you are accessing the Services from outside the United States, please be aware that U.S. law may not provide the same level of data protection as the laws of your country.
12. Third-Party Links
The Services may contain links to third-party websites (e.g., USA Hockey, rink operators). We are not responsible for the privacy practices of those websites, and we encourage you to review their privacy policies.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects the most recent revision. Material changes will be communicated by email or through a notice in the Services. Continued use of the Services after a change constitutes your acceptance of the revised Privacy Policy.
